About Us
Phlebotomy Services Ltd is a well-established private blood-taking service with a clinic based in Kenilworth, Warwickshire. We operate a large national team of experienced mobile phlebotomists, providing home-visit services to a growing client base that includes the NHS, UK-wide donor services, private patients, hospitals, clinical research organisations, and pharmaceutical companies.
With a growing client base and increasing demand for our services, we’re seeking a proactive and highly organised project co-ordinator and office administrator to support our expanding operations and help us continue to deliver a high standard of service.
About The Role
This is a varied and hands-on role where no two days are the same. You will play a central part in the day-to-day running of the business, from managing administrative tasks and supporting the team, to liaising with patients, clients, laboratories, donor services, and healthcare professionals.
The role requires someone who is confident, adaptable, and able to take initiative. Strong multitasking skills and excellent attention to detail are essential due to the nature of the work and the clients we support. A high level of professionalism is required, including strict adherence to data protection, confidentiality, and ability to act with discretion.
Key Responsibilities

Help coordinate a team of mobile phlebotomists booking of appointments for clients across the UK.

All administrative work involved with the running of the business.

Welcoming patients into the clinic- bookings and taking of payments.

Liaise with laboratories, NHS professionals, and private healthcare partners

Maintaining stock levels & supplies for national team & office supplies and equipment as needed

Supporting the Office Manager & Directors when required.
What We're Looking For

Proven experience in office administration or a similar role

Strong communication skills – written, verbal, and interpersonal

Highly organised with excellent time management and multitasking abilities

Proficient in Microsoft Office (Word, Excel, Outlook) and confident using smartphone apps (especially WhatsApp)

Strong typing and data entry skills

Ability to work independently, make sound decisions, and maintain confidentiality

A calm and professional manner with a good sense of humour

Empathetic and patient-focused approach
Desirable (Not Essential):

Knowledge of Sage accounting software

Experience in a medical or healthcare setting
Hours & Salary
We are offering 37.5 hours per week, with 20 days holiday plus bank holidays. We
are small friendly team, where flexibility is needed.
